Administrative Assistant

Position Details:

  • Part Time, Hourly (24-40 hours/week)
  • Expected schedule: 7:30-4:00 Tuesday, Wednesday, Thursday; Ad-hoc as needed
  • Based in-person at the Dame Leadership office in Camp Hill

Professional responsibilities:

Assisting the Operations Manager

  • Setup / tear down rooms for sessions and meetings. Ensure technology, food, beverage, and client experience are excellent.
  • Assist in scheduling meetings, managing calendars, meeting notes as assigned by the Operations manager.

Assisting the Sales Leader

  • Create sales order entries in our point of sale.
  • Draft proposals for review by sales leader.
  • Assist with preparation for events, open houses, conferences.
  • Support marketing efforts with mailers, printing campaigns, and assembling event materials.

Office Management

  • Maintain office supplies inventory and order new supplies as necessary.
  • Greet visitors.
  • Book and maintain schedule for conference and training rooms.
  • Gather and deliver mail.
  • Answer the phone main line and route calls.
  • Monitor shared email inboxes from the website.
  • Serve as point of contact for clients needing logistical information for onsite sessions
  • Maintain a clean and professional office appearance.

Training Materials and Print Production

  • Maintain office printers and troubleshoot basic technical issues.
  • Print, assemble, and prepare training materials.
  • Manage inventory of printed materials and branded facilitation supplies.
  • Support facilitators with last-minute printing/material updates.
  • Prepare agendas, sign-in sheets, evaluation forms, and attendance records.

Financial Data Entry / Assistance

  • Assist with financial records, including accounts payable and accounts receivable.
  • Monitor Aging Report and conduct 1st follow up with missing payments.
  • Enter executive expenses into our ERP system.

Operations Manager

  • Expected schedule: 8:00-5:00 Monday – Friday
  • Based in-person at the Dame Leadership office in Camp Hill

  • Prior experience overseeing operations in a consulting environment is highly preferred
  • Operational experience with improving efficiency and financial oversight of projects (job costing).

  • Problem solver with critical thinking skills.

Professional responsibilities:

Manage schedules and resource utilization

  • Responsible for maintaining resource utilization to measures established in KPIs per facilitator.
  • Forecast resource utilization on a rolling 3-month report that alerts the company of new hire decisions ahead of time.

Scope of Work Development

  • Coordinate with sales team on statement of work for each new project that outlines the tasks and time to deliver them.

Project Management

  • Setup projects in Odoo & SharePoint.
  • Manage projects to deliver on time, on budget.
  • Audit quality of 1099 labor.
  • Coordinate with finance on billing.

Provide Regular Updates To Stakeholders on Project Status

  • Hold regular status update meetings with clients as necessary.
  • Complete a debrief on each completed project and develop lessons learned for every engagement.
  • Gather project related expenses and coordinate with finance for reimbursements / expense management.

Process & Procedures

  • Develop SOPs for all standard work products.

Content Management

  • Maintain the standard documents and resources for the team to use.
  • Ensure the latest changes are maintained and embedded in the materials.

Personnel Management

  • Conduct regular tactical 1:1s with facilitators to ensure they have the resources, tools, materials needed.

Leadership Consultant

  • Review session goals, client needs, and planning details prior to each facilitation engagement.
  • Coordinate with the operations and project management teams to ensure room setup, materials, technology, and timing meet facilitation requirements.
  • Prepare session materials, exercises, workbooks, and strategic planning templates prior to delivery.
  • Provide clients with pre-session communication when needed, including expectations, agendas, and preparation instructions.

Facilitation & Training Delivery

  • Deliver high‑quality facilitation for Dame Leadership Academy sessions, leadership development workshops, and organizational training programs.
  • Guide participants through interactive discussions, exercises, and application-based learning to build practical leadership skills.
  • Adapt delivery style to meet the needs of diverse audiences, including emerging leaders, mid‑level managers, executives, and CEOs.
  • Ensure all sessions – whether two‑hour, half‑day, or full‑day – are conducted professionally, on schedule, and in alignment with Dame Leadership standards.
  • Create an engaging, supportive learning environment that reflects Dame Leadership values and promotes meaningful participant growth.

Executive & Mid-Level Coaching

  • Provide one‑to‑one coaching for leaders, helping them increase self‑awareness, clarify goals, and improve leadership effectiveness.
  • Serve as a trusted advisor and thought partner to clients, offering guidance, accountability, and structured conversations.
  • Maintain strict confidentiality for all client discussions, documentation, and coaching insights.
  • Assist clients in understanding and applying leadership assessments, communication styles, and behavioral tools.

Strategic Planning Facilitation

  • Lead strategic planning sessions for CEOs and leadership teams, guiding them through structured processes to define vision, priorities, and actionable goals.
  • Facilitate discussions that align organizational mission, values, and long-term strategic direction.
  • Support teams in building multi-year strategic plans, annual objectives, quarterly priorities, and practical execution frameworks.
  • Manage group dynamics to ensure productive dialogue, balanced input, and actionable decision-making.

Relationship Management & Client Experience

  • Build strong professional relationships with clients, participants, and executive leaders.
  • Represent Dame Leadership’s brand and values in all client interactions.
  • Conduct post-session follow-up with resources, action steps, and recommended development activities.
  • Gather and interpret participant feedback to support continuous improvement of programs and facilitation practices.

Content Expertise & Program Development

  • Maintain deep knowledge of Dame Leadership content areas, leadership competencies, and strategic planning methodologies.
  • Contribute to the improvement of training modules, facilitation guides, and client tools.
  • Engage in ongoing professional development to strengthen facilitation, coaching, and strategic planning capabilities.

Group Facilitation

  • Lead group conversations that encourage learning, accountability, and shared problem-solving.
  • Create a safe, confidential environment for leaders to discuss challenges and exchange insights.
  • Guide executives through structured issue-processing and collaborative decision-making.
